Grandparents helping with school in the UAE: a practical guide for visits and pick-ups
The cooler months bring the grandparents. Flights are booked, the spare room is ready, and suddenly you have someone who would love to do the school run. Then you remember the gate pass, the pick-up app, the bus tracker and the rule that only registered adults can collect. A little preparation before they land saves a stressful first afternoon at the school gate.

Why winter visits and school runs collide
Many families plan visits for the cooler months, when grandparents can walk to the bus stop and enjoy the park after school. That is also a busy stretch of the school year, with concerts, national celebrations, sports days and the winter break. Check the dates in your school's calendar before booking flights, so the visit includes a few normal school days as well as the holidays. Our UAE winter break guide and KHDA calendar are good starting points, but your school's own calendar is the one to trust.
Step 1: Add them as an authorised collector
UAE schools take collection seriously. Most will only release a child to an adult registered with the school, and many use ID checks, gate passes or a pick-up app. Before the visit:
- Email the school office with each grandparent's full name as in their passport, their relationship to the child and the dates they will be collecting.
- Ask what the school needs: a passport copy, a photo, a signed form or a portal entry.
- Ask whether they need a gate card, a car tag or a QR code in the school app, and how to get it.
- Confirm whether the school needs a message on each collection day or whether one registration covers the visit.
- Tell your child's class teacher too, especially for younger children.
Do this a week or two before they arrive. Office teams are busy, and you do not want the first attempt to be on the day.

School routines are hard to explain by phone, so write a one-page note. Include:
- The school address and the exact gate, with a map pin.
- Drop-off and pick-up times for each child, including short days.
- Where to wait, and where parents are not allowed to stand.
- Parking rules, or the taxi drop point if they will not drive.
- The bus stop, pick-up time and the name of the bus supervisor, if your child takes the bus. Ask the school whether the grandparent can be added as the adult who meets the bus.
- After-school clubs, with days and finish times.
- Who to call if something goes wrong: you, the school office and one backup adult.
Step 3: Plan for the heat
Even winter afternoons can be warm at the gate, and older visitors and small children both feel it. The Early Childhood Authority Summer Safety Guide advises frequent breaks in shade, plenty of water, light clothing, hats and sunscreen of at least SPF 30, and avoiding outdoor activity in the hottest part of the day, typically 12pm to 4pm. It also gives one rule every visitor should hear on day one: never leave children in a parked car, even for a short time.
Practical tips:
- A water bottle and a hat in the car or bag for the grandparent too.
- A shaded waiting spot agreed in advance.
- Park trips after 4pm rather than straight after a midday pick-up.
Step 4: Share the school apps and the week's messages
Most UAE schools communicate through a mix of email, a parent app and class WhatsApp groups. Grandparents will not have access to most of these, and you probably do not want them in the class chat.
- Send a short daily message with what matters: PE kit, a library book, an early finish.
- Share the lunchbox rules. UAE schools follow healthy food policies, and our UAE lunchbox guide explains what usually gets sent home.
- Note any medication and allergy details in writing.
- Keep one list of the week's events on the fridge.

Grandparents love to treat, and children love to test new adults. Agree a few things before the first school day:
- Screen time after school.
- Snacks before dinner.
- Homework: who checks it and when.
- Bedtime on school nights.
- What to do if the child says "Mum always lets me".

Frequently asked questions
Can grandparents pick up a child from school in the UAE?
Usually yes, once the school has them registered as an authorised collector. Each school sets its own process, so email the office before the visit.
What documents will the school ask for?
Commonly a passport copy and a signed authorisation from a parent, sometimes a photo for a gate pass. Check with your school.
Can a visiting grandparent meet the school bus?
Many schools require a named adult at the bus stop for younger children. Ask the school or the bus provider to add the grandparent.
What is the safest time for outdoor play after school?
The Early Childhood Authority advises avoiding outdoor activity in the hottest part of the day, typically 12pm to 4pm, and taking breaks in shade with plenty of water.
Should grandparents join the class WhatsApp group?
Usually not. A short daily message from you with the key points works better.
